Marking centrally-managed assessments

Key guidelines and details of training for UCL staff responsible for marking centrally-managed assessments in AssessmentUCL.

For 2021 centrally-managed exams, staff have the optionto mark withinAssessmentUCLor download your exam scripts and mark offline.

Since the start of the April exam period,AssessmentUCLhas enabled 95% of students on 24-hour exams and 93% of students on a timed exam to submit on time.These results areconsistentwithUCL’straditional face-to-face examinations.

Marking is well underwayfor many modules, but if youareyet to startor still unsure about the options available,below are some key remindersfor markingcentrally-managedexams in 2021.

Please note:asmall number of modules are piloting greater functionality of theAssessmentUCLplatform; the guidance below does not relate tothesemodules. Please check with yourFaculty Learning Technology Leadif you are unsure whether you are marking a module as part of the pilot.

Marking options

There is no requirement to use a particular platform or method for markingexams in 2021, so there is considerable flexibility for departments to use processes that work best for them.The only requirement is thatfinal grades need to be stored in Portico,UCL’sstudent records system.

We suggest the followingmenu of optionsfor departments to build on, if they so choose:

  • Markers markscriptsonAssessmentUCLusing the available annotation and markuptools;
  • Departments download PDF copies of scriptsfromAssessmentUCL, which can be annotatedusing PDF annotation software on a computer or tabletdevice;
  • Markers review the scripts on-screen usingAssessmentUCL, but keep a ‘marker file’ or notes and comments on the marking processoutside ofAssessmentUCL;
  • Markers print the scripts and markphysical copies, then scan them for storage or keep them for return to theirdepartment.

Marking in AssessmentUCL

Accessingexam scripts

Exam scriptscan be accessed 24 hours after the exam closes tostudents.

The 24-hourdelayallowsforall students to submit their timed exams and forTurnitin similarity reports to be generated.

Staff accessto examsisbased on information providedwhen theexam paperwas submittedin March. We understand marking allocations can change and new markers join, so if you need access to an exam pleaseemailexaminations@ucl.ac.uk.

Marker tools

TheAssessmentUCLplatform allows markerstoenter in-line annotations, comments and marks. Multiple markers can concurrently mark the samescript, and double blind and open second marking workflowsaresupported.

However,there are norubrics,marking formsorre-useable commentsfor exam marking in2021.As well, markers and moderators have access to all scripts,from which asample can be identified. Assigning staff to a sample will be supported on the platform in future years.

Checking your role in the platform

When you login toAssessmentUCL, you will see a row of tabs showing the roles you have access to.Check youareon the correct tabbefore you access your exams.

The 'Assessor' or 'Marker' role allows the user to mark scripts.AssessmentUCLdoes not distinguish between first or second markers, so thismust be coordinated betweenmarkers.

The 'Reviewer' or 'Moderator' role allows the user to viewsubmissionsand marking.This roleallows:

  • Administratorsand ELOsto monitor the progress of marking, and/or downloadscripts;
  • Second“check”markersto check first markingi.e.where the second marker checksfirst markingwithoutneeding to providetheir ownmark;
  • Module Leads to agree marks onAssessmentUCL;
  • External Examinersto review marking.

It's also possible to have both the 'Assessor' and 'Reviewer' role on the oneexamandyour role/smay change from one exam to the next.

Agreeing marks

Only the Module Lead or ExamLiaisonOfficer (ELO)canagreemarks.

Toenablethecentralsetup of1000s ofexams in 2021,only the Module Lead and ELOhavebeen assignedthepermission to agree marks.For certain modules this will make sense. For others, such asteam-basedmarking of large cohort exams where the Module Lead doesn't mark all scripts, it may be possible for the Module Lead to facilitate the agreeing of marks(see a potential solution)orit may be more appropriate to record marks outsidethe platform.

In future,different staff can be given the ability to enter agreed marks and this can be tailored to departmentand/or module.

First, second and agreed markscan berecorded separatelyonAssessmentUCL.Currently only one mark is recorded when a grade is changedi.e.only the final version of the first, second and agreed markare displayed.If,say,an agreed mark is revised, only the revisedversion of themark is visible to staff.Mark changes will need to be recorded eitheronAssessmentUCLusing comments, or outside the platformuntilaplatform audit tool is implemented.

GeneratingExcel marksheets

Excel marksheetscan be generated to help coordinatemarking.

Depending on the marking approach you decide, the ability to exporta marksheetmay help with coordinating marking, identifying a sample, and performing mark calculations. All markers can export and import a list of candidates andtheir ownmarks. The Module Lead or the ELOcan export and importall the marking from different markers and the agreed markin the Reviewer role.Further explanation is providedin the.

Word counts are indicative

AssessmentUCLprovides a word count to markers. However,there is no standard word counting algorithm andits word count can differ fromMicrsoft Word.Students have been asked to include the word counton their cover sheet.It isworth cross-checking the differentword countmetricsbefore applying any penalties.

External Examiner support

External Examiners will be able to login toAssessmentUCLwith their standard UCL credentials.From the 'Reviewer' role, theycan view all examscripts, and all marking including annotations,comments, andthe first, second and agreed mark. They can also search by candidate number to access specificscriptsand thereby identify asample.Seefor more information.

Exporting annotatedscriptsfor the External Examiner is possible althoughannotatedscripts can only be exported one at a time, andit is necessary to export both the submission and the annotations as two separate documents (see).

Automatic mark integration

Automaticmark integration with Portico isunderdevelopment.

In future,agreedmarks will be automatically transferred fromAssessmentUCLto Portico. In 2021, this process remains manual. Either the Module Lead or ELOcan export marks fromAssessmentUCLand transfer them to a Portico A26/27 spreadsheet for upload to Portico. This process issimilarto the current process of transferring marks to Portico and so your ELOanddepartmentadministratorsarelikely to be familiar with the steps required.

Future development of AssessmentUCL

AssessmentUCLwill continue to evolve. This year the experience of markingexamsmaystill feelquitemanual. Many tasks includingallocating markers to questions,sampling and calculatingfinal marks from component markswill be possible within the platformin future years.Theprojectteamis also working closely with the supplier to introduce enhancements that can improve the marking experience.You can learn more about the project on theAssessmentUCL project webpage.
